Privacy Policy

Promio is operated by Brian Cho, an individual based in San Francisco, California, United States. In this Privacy Policy, "Promio," "we," "us," and "our" refer to Brian Cho operating Promio. This policy explains how we collect, use, disclose, and protect personal information when you use our websites, applications, and related services (collectively, the "Services").

Promio is a private promise workspace that helps you define promises to yourself, work with AI-powered promise participants, record conversations, attach proof, and request a review. Please review this policy before using the Services.

1. Information we collect

Information you provide

  • Account information: your email address, chosen or sign-in-provider name, language, account timezone, and optional profile image.
  • Promise content: promise titles, descriptions, success criteria, due dates, lifecycle status, messages, draft instructions, reviews, and other content you submit.
  • Proof and files: images, screenshots, file metadata, and related context that you attach to messages.
  • Communications: information you include when you contact us for support or otherwise communicate with us.

Information generated or derived through the Services

Promio generates or derives information while providing the Services, including promise phases, participant selections and results, fictional participant profiles and portraits, AI-generated participant proof, reviews, safety classifications, follow-up suggestions, conversation summaries, promise memory, agent memory, and embeddings used to retrieve relevant memory. This information may be based on content you provide and your interactions with the Services.

Information from sign-in providers

If you sign in with Google or Apple, we receive a verified email address and authentication information needed to confirm your identity. We may also receive the name you authorize the provider to share. Google or Apple processes your use of its sign-in service under its own privacy policy. We do not receive your Google or Apple password.

Age eligibility and platform age-range information

When you create an account, we retain the time when you confirm that you are at least 13 and, if you are under 18, have permission from a parent or legal guardian. We do not collect or store your birth date, birth month, or birth year through this feature, nor do we collect government identification, a selfie, or payment information through it.

In our native applications, Apple or Google may also provide an age range and related declaration, supervision, parental-control, or approval status for the device account. Promio uses this information only to decide whether account creation or access is allowed.

The native application processes the platform age-range result during the authentication attempt. Promio does not transmit that result to its servers or retain it after the attempt. Apple and Google process age-assurance information under their own privacy policies.

Information collected automatically

When you use the Services, we and our infrastructure providers may automatically process technical information such as your IP address, browser or device type, operating system, language, request time, pages or features used, referring page, and security or diagnostic logs. We also store an authentication token on your device so you can remain signed in. Promio does not currently use this information for targeted advertising.

Sensitive information

Promises and proof can reveal sensitive information depending on what you choose to submit, including information about health, finances, relationships, beliefs, or precise activities. Please do not submit highly sensitive information, government identifiers, payment card numbers, account passwords, or information you do not have the right to share. Promio is not a medical-record service or a substitute for a licensed professional.

2. How we use information

We use personal information to:

  • create, authenticate, maintain, and secure your account;
  • confirm age eligibility and enforce minimum-age or supervision requirements;
  • provide and personalize promises, participants, conversations, proof, and reviews;
  • interpret deadlines, display timezone differences, and schedule in-app participant messages;
  • generate, retrieve, and promote promise and agent memory relevant to your interactions;
  • send sign-in codes, account service messages, and welcome emails;
  • store and display profile images, fictional participant portraits, user proof, and AI-generated participant proof;
  • operate, troubleshoot, improve, and protect the Services;
  • prevent fraud, abuse, security incidents, and violations of our Terms of Use;
  • respond to support requests and communicate changes to the Services; and
  • comply with law, enforce agreements, and protect rights, safety, and property.

3. AI processing

Promio uses artificial intelligence services, including OpenAI's API, to draft and refine promises, assess promise safety, select and create fictional participants, generate participant portraits, introductions, responses, scheduled messages, proof images, missed explanations, and congratulations, review user proof, create and retrieve memory and embeddings, and suggest follow-up promises.

To provide these features, relevant account context, promise content, messages, agent details, memory, attachment labels and descriptions, and the actual contents of images submitted for review or used for a follow-up suggestion may be sent to our AI service providers. AI outputs may be inaccurate, incomplete, or inappropriate. You should review them and use your own judgment, especially for health, legal, financial, safety, or other consequential matters.

Participant portraits and participant proof are synthetic AI-generated images. Participant proof is stored as a private attachment and labelled as AI-generated in the Services. It does not depict evidence of a real person's actions. Reviews assess whether visible user proof appears consistent with a promise; they do not authenticate the image or verify identity, ownership, time, location, or an underlying event.

4. How we share information

We may disclose information to the following categories of recipients:

  • Cloud and infrastructure providers, including Cloudflare, which hosts the application, database, file storage, and related network services.
  • AI providers, including OpenAI, which process relevant content to provide the AI features described above.
  • Email providers, including Resend, which deliver authentication and service-related emails.
  • Identity providers, such as Google and Apple, when you choose their sign-in methods.
  • Platform age-assurance providers, Apple and Google, which process and provide age-range or supervision information through their operating-system and app-store services.
  • Professional advisers and authorities when reasonably necessary to comply with law, respond to lawful requests, enforce our agreements, or protect rights, safety, and property.
  • Transaction participants in connection with a merger, financing, acquisition, reorganization, bankruptcy, or sale of all or part of the business, subject to appropriate confidentiality protections.

We do not sell personal information for money, and we do not share personal information for cross-context behavioral advertising. We do not use third-party advertising trackers in the current Services. If these practices change, we will update this policy and provide any choices required by law.

5. Retention and deletion

We retain account and promise information while your account is active and as needed to provide the Services. We may keep limited information longer where reasonably necessary for security, fraud prevention, dispute resolution, legal compliance, or enforcement of our agreements. Service providers may retain information under their own contractual retention schedules, and residual copies may remain temporarily in backups and logs.

You can delete your account from the account page. Account deletion removes your account, associated database records, profile images, generated agent portraits, and proof attachments from active Promio systems, subject to the exceptions above. You can also contact us to request deletion or ask questions about a specific file or record.

Platform age-range and supervision results are used transiently in the native application and are not stored in Promio's server systems. Acceptance of the current Terms and acknowledgement of this Privacy Policy are retained with their document versions as part of the account record, along with the time of the age-eligibility confirmation.

6. Security

We use reasonable administrative, technical, and organizational measures designed to protect personal information. No system or method of transmission is completely secure, and we cannot guarantee absolute security. Keep your device and sign-in methods secure and notify us if you suspect unauthorized account access.

7. Your choices and rights

You can review or update your name, language, account timezone, and profile image from your account page. Scheduled promise messages appear in the private promise conversation and do not use a promise email-notification setting. Future scheduled messages stop when the promise ends or is cancelled, or when you delete your account. Essential authentication and account emails cannot be disabled while using the corresponding feature.

Depending on where you live, you may have rights to request access to, correction of, deletion of, or a portable copy of personal information; to object to or restrict certain processing; to withdraw consent; and to appeal a decision or complain to a privacy regulator. You may also have the right not to receive discriminatory treatment for exercising applicable privacy rights.

To submit a request, email [email protected]. We may need to verify your identity before completing a request. Authorized agents may submit a request where permitted by law, but we may require proof of authorization and identity. We do not currently sell or share personal information for targeted advertising, so there is no need to opt out of those practices.

8. Children's privacy

The Services are not directed to or intended for children under 13, and we do not knowingly collect personal information from children under 13. Users under 18 must have permission from a parent or legal guardian to use the Services. If you believe a child under 13 has provided personal information, contact us so we can investigate and delete it as appropriate.

9. International processing

Promio and its service providers may process information in the United States and other countries where privacy laws may differ from those where you live. Where required, we use appropriate legal mechanisms for international transfers.

10. Changes to this policy

We may update this policy as the Services or applicable law changes. We will post the revised policy here and update the date above. If changes are material, we may provide additional notice through the Services or by email when required.
